FAQ's (Frequently Asked Questions)

When USU has received your group's deposit to confirm your youth conference booking, your group will be assigned a conference coordinator. Your conference coordinator will be your guide in preparing for your youth conference here at USU. They will be in contact with you via email and phone to make sure your group meets deadlines for payments, agendas, and rooming lists. They will assist you in preparing all details of your youth conference to make this a great experience for your youth.

Yes, your Youth Conference Coordinator will prepare an agenda and map specific to your group. These will then be distributed to all adult chaperones during orientation. Your agenda will also be emailed to you prior to your group's conference.

Don't think you have to stay on campus for your workshops. We have had groups do group service projects, temple walks, photo scavenger hunts, and amazing races. You can use the resources here at USU and rent canoes from our Outdoor Rec Center to go canoeing at First Dam. Did you know USU has a challenge course? You can take your group down for a 2 hour-4 hour program. Workshops based on your youth conference theme are always good options.

Yes, groups are to provide the teaching of their workshops. Let your conference coordinator know what type of facilities you need, including AV equipment as well. Vacant gyms and rooms without desks and chairs are very difficult to reserve due to the demand for those facilities. We are not able to provide those type of spaces in all situations but USU has several green spaces and other classrooms for your group to use during workshops and other activities. Keep in mind that any gyms or facilities outside of our classrooms might require a fee for use.

That is an option, make sure to notify your conference coordinator many weeks in advance so that we can reserve the appropriate meeting space for your group.

Each group will be assigned a parking lot in accordance with the location of your group's residence hall. USU will be able provide parking passes to prevent your group from receiving tickets while at youth conference. These Parking passes will be $10 per car per day.

In your information packet you will have a dietary considerations form, that form must be filled out for each person who has dietary restrictions or we cannot provide adequate meals for them. This form will be due one week prior to your conference to your youth conference coordinator.

USU needs a final guarantee of number 30 days prior to the month of your conference. June groups must submit their final count by May 11th and July groups must submit their final count by June 13th. These numbers are critical for meal counts and housing assignments.

You may pay with either check or credit card. Keep in mind that paying with a credit card results in a 3% service fee.

A check must be mailed to the following address:
USU Event Services
P.O. Box 413135
Salt Lake City, Utah 84141-3135

Your group is responsible for providing chaperones for your youth, USU recommends one adult per 8-10 youth. Whereas your youth conference coordinator and USU staff will be present at your group's check-in and various activities throughout your time on campus, they do not fulfill the role of a "camp counselor". Our staff will facilitate Aggie Games and supervise other included activities, but it is your responsibility to not only provide chaperones for your group, but actively participate in activities with your youth.

USU does not provide merchandise for any of our youth conferences, your group is welcome to design their own shirts and other merchandise. We love seeing all the unique shirts and notebooks that our groups bring with them to youth conference!

The dorms at USU are not equipped with A/C, for this reason you may want to bring your own fans.

USU Housing provides each bed with a set of sheets, a pillow/pillowcase, and blanket. The youth are welcome to bring their own blankets and pillows if they like. USU provides toilet paper only, you will need to provide your own towels, soap and other personal amenities. In your information packet is included a recommended packing list for USU dorms.

USU Housing will not allow any of the items they provide to be removed from their dorms. You may use your own personal items for the movie night.

Yes, each participant receives a dorm key - this is why the rooming list is so important. The dorm keys are like hotel keys and must returned back to USU housing at the end of your group's stay. Your group will receive a roster of room assignments when you arrive for check-in.

USU policy states that youth and leaders cannot share rooms. There are extenuating circumstances, such in medical situations.

Of course, all three of these facilities exist on USU campus; however, USU will not allow anyone who is not a USU student to use our weight room or tracks. Use of the swimming facilities is allowed only during Swim & Gym as part of the 3-day package.

We do not have a "camp nurse" on staff with us, all of our staff members are CPR/First Aid certified. USU paramedics will be called for any emergency and Intermountain InstaCare is located 5 minutes away from campus.

Please! We encourage all of our groups to come up to campus for a tour prior to your conference. April and May are the best months for these visits. This is a great way to get a feel for what your conference will be like, and to look at the facilities for use during workshops. Contact your conference coordinator to set-up a campus tour.
